TERMS OF SERVICE
At MyFlow Retreats, each trip page clearly states what is included and what is not included. Air tickets, in-transit accommodation, visas, airport taxes, and alcohol/drinks are rarely included.
RESERVATIONS
To participate in one of our retreats, you can complete your booking through our Online Booking System. Finalize your reservation by paying either the deposit or the full amount. Alternatively, you may contact us if you need assistance.
PAYMENT & ACCEPTANCE OF TERMS AND CONDITIONS
For MyFlow Retreats to accept a reservation, the acceptance of these Terms & Conditions is required from every client who has made a partial or full payment for any of our services. Failure to accept the Terms & Conditions entitles MyFlow Retreats to reject the reservation.
Payments can be made through our platform (Viva Wallet, PayPal, or direct bank transfer). The remaining balance must be paid 30 days before the retreat start date for International Retreats, and 15 days before for Domestic Retreats. If the final payment is not made within the deadline, MyFlow Retreats reserves the right to cancel your reservation and accept new bookings for your spot. In this case, your deposit and any additional payments will be forfeited.
PAYMENT & CANCELLATION POLICY
Below is the official and concise payment & cancellation policy for MyFlow Retreats (Domestic & International). Depending on the booking period, the 3-installment, 2-installment, or full-payment policy applies. If the booking is made at least 3 months in advance, the client may choose the preferred payment plan.
1. Payment Plans
1.1) 3-Installment Plan (International Retreats only)
1st Installment (Deposit): €400 upon booking
2nd Installment: 50% of the balance, 3 months before the Retreat
3rd Installment: 50% of the balance, 1 month before the Retreat
1.2) 2-Installment Plan (International & Domestic Retreats)
1.2.1) International
1st Installment (Deposit): €400 upon booking
2nd Installment: Balance, 2 months before the Retreat
1.2.2) Domestic
1st Installment (Deposit): €100 upon booking
2nd Installment: Balance, 15 days before the Retreat
1.3) Full Prepayment
The client may pay the full amount upfront if they wish. Full prepayment is mandatory when the booking period is:
Less than 60 days for International Retreats
Less than 15 days for Domestic Retreats
Booking Period – International Retreats:
Reservation > 90 days: option of 3 installments, 2 installments, or full payment.
Reservation 90-60 days: option of 2 installments, or full payment.
Booking < 60 days: full payment required
Booking Period – Domestic Retreats:
Reservation > 15 days: option of 2 installments, or full payment.
Booking < 15 days: full payment required
2. Cancellation Policy
2.1) 3-Installment Plan (International only)
Cancellation > 90 days: If the spot is filled, the deposit is credited for 12 months If the spot is not filled, the deposit is forfeited
Cancellation 89–30 days: If the spot is filled, the deposit is credited, but the 2nd installment is forfeited. If the spot is not filled, both the deposit and the 2nd installment are forfeited.
Cancellation < 30 days: 100% of payments are forfeited
2.2) 2-Installment Plan
2.2.1) International
Cancellation > 60 days: if the spot is filled, the deposit is credited. If the spot is not filled, the deposit is forfeited
Cancellation < 60 days: 100% of payments are forfeited
2.2.2) Domestic
Cancellation > 15 days: if the spot is filled, the deposit (€100) is credited. If the spot is not filled, the deposit is forfeited.
Cancellation < 15 days: 100% of payments are forfeited.
2.3) Full Prepayment
2.3.1) International
Cancellation > 2 months: If the spot is filled, 100% credit for 12 months If the spot is not filled, the deposit (€400) is forfeited; the balance is credited
Cancellation > 1 month: If the spot is filled, the balance is credited, but the deposit is forfeited. If the spot is not filled, the deposit and 50% of the balance are forfeited. The remaining 50% is credited.
Cancellation < 1 month: full amount is forfeited
2.3.2) Domestic
Cancellation > 15 days: if the spot is filled, 100% credit is valid for 12 months. If the spot is not filled, the deposit (€100) is forfeited, while the remaining amount is credited.
Cancellation < 15 days: the full amount is forfeited.
3. Credit & Participation Terms
Credits for International Retreats may be used only for International Retreats (same for Domestic).
Credits must be used in a single participation; any remaining balance is forfeited.
Failure to pay installments on time entitles MyFlow Retreats to offer the spot to another participant and retain all payments made up to that point.
For any clarification, the MyFlow Retreats team is available. If you wish to cancel your participation, notify us by email at info@myflowretreats.com. Once received, your cancellation will take effect according to the policy above. MyFlow Retreats reserves the right to credit the client depending on how soon the retreat begins, if the cancelled spot is filled, and based on the selected payment policy.
CANCELLATION BY MYFLOW RETREATS
We do our best to ensure all retreats run as scheduled. However, your safety is our priority. In cases of natural disasters, illness, civil unrest, or other unforeseen events, participants may transfer their deposit to a future retreat (within 12 months). MyFlow Retreats is not responsible for refunds; participants may seek compensation from their travel insurance.
CHANGES BY MYFLOW RETREATS
We reserve the right to make changes before the retreat begins. If changes occur regarding venue, instructor, schedule, or any other element due to unforeseen circumstances, clients may transfer their deposit to a future retreat within 12 months. If the client has made additional payments beyond the deposit, these are forfeited. Travel insurance is required to cover expenses arising from changes beyond our control.
TRAVEL CANCELLATION DUE TO CLIENT’S RESPONSIBILITY
It is the client’s responsibility to hold a valid passport (at least 6 months beyond return date) and check visa requirements. MyFlow Retreats is not liable for trip cancellations due to passport or visa issues.
INSURANCE & TRAVEL DOCUMENTATION
Travel Insurance
Travel insurance for International Retreats is usually included and covers medical emergencies, natural disasters, and flight modifications/cancellations. For Domestic Retreats, it is not included, so we highly recommend adding coverage individually.
Travel Documents & Vaccinations
Clients are responsible for obtaining required travel documents, visas, and vaccinations. MyFlow Retreats provides general guidance but is not responsible for compliance with entry requirements.
ACKNOWLEDGEMENT OF RISKS – ASSUMPTION OF RESPONSIBILITY
Despite reasonable safety measures, clients acknowledge inherent risks in activities such as:
Outdoor: hiking, climbing, zip-lining, rope courses
Water: paddleboarding, kayaking, rafting, snorkeling, scuba diving, surfing
Wellness: yoga, pilates, meditation, sound healing
Cultural/Gastronomic: wine tasting, cooking classes, guided tours
Natural risks: sudden weather changes, wildlife, high altitudes, physical exertion
By participating, you accept full responsibility for any injuries, losses, or damages.
WAIVER OF LIABILITY
By agreeing to these terms, clients confirm they have no medical conditions preventing participation. MyFlow Retreats and its partners are not liable for injuries, illness, emotional damage, travel expenses, or property damage. We reserve the right to accept or reject participants at our discretion.
PHOTO & VIDEO RELEASE
By accepting these terms, participants authorize the use of photos and videos for promotional purposes unless they explicitly notify us in writing before the retreat. No royalties or compensation apply.
OTHER TERMS
Participant Conduct
Participants must behave respectfully toward others, instructors, and the local community. Misconduct may result in removal without refund.
Privacy Policy
We respect your privacy and collect only the personal information necessary for bookings and communication. No data will be shared with third parties without consent.
Changes to Terms
We reserve the right to update these terms at any time. Significant changes will be communicated to registered participants.
By completing your purchase and booking a retreat with us, you confirm that you have read and agree to the above Terms & Conditions.
